OFFICE COORDINATOR

 

The Office Coordinator serves as the primary source of office information and operations, ensuring good communication and connectivity within all areas of Student Life while facilitating communication among other campus offices. The Coordinator also assists with special projects and should be adept with software systems (e.g. Microsoft Office Suite, Zoom, Google, etc.) in order to create presentations, reports, and emails for a broad range of constituencies. Serving as the initial contact for Counseling Services, the Coordinator must have a basic understanding of mental health, maintain appropriate levels of privacy, and manage complex situations to triage, refer, and de-escalate situations as appropriate.

The Coordinator will synthesize information and prioritize needs in order to optimize efficiency and provide supervision for the Assistant Office Coordinator and the student staff Student Life Assistants. Though not exhaustive, some of the responsibilities for the position include:

 

PRIMARY RESPONSIBILITIES:

  • Receive and direct all visitors to the suite. Serve as a source of information and routing for the Department.
  • Organize and maintain general office operations including answering the phone, providing basic technical support, managing calendars and scheduling, and preparing correspondence.
  • Track budgets, maintain credit cards, and process monthly statements for the Vice President for Student Life and Associate Deans.
  • Provide organizational and administrative support to the various events for the department.
  • Record minutes for meetings, synthesizing information and disseminating as appropriate
  • Train and supervise Student Life Student Assistants
  • Supervise the Assistant Office Coordinator, serving as a backup as needed.
  • Process off-campus Housing Applications.
  • Provide a consistent, knowledgeable, and calm presence in Counseling Services.
  • Manage counseling staff schedules and assist with intake paperwork.

QUALIFICATIONS:

  • Associate degree in business administration or related field plus a minimum of three years of administrative work experience supporting a senior executive, or high school diploma required with extensive administrative experience and demonstrated competence required.
  • Higher education experience preferred.

 

Pay is competitive, and salary is commensurate with experience. This full-time position offers a full benefits package, including paid tuition at the College for eligible dependents.
