POSITION DESCRIPTION
The Herbert Wertheim College of Medicine is currently seeking a Health Information Rep II to join our team of professionals.
Duties Include:
- Maintains medical records for FIU's Herbert Wertheim College of Medicine (HWCOM ) patients. Processes authorizations for release of medical information according to the policies and legal requirements, under supervision of the leadership team, and coordinates receipt of payment for copies prior to release, as appropriate. Scans and indexes paper medical records into the EHR as needed.
- Assists in providing education and training to patients and staff in areas relevant to health information management policies and procedures.
- Maintains quality control of patient charts and electronic medical records (EMR) by reviewing clarity, proper sign off, and completeness from providers. Conducts regular audits of the medical records. Enters and removes alerts in the EHR, as needed.
- Ensures processing of subpoenas and depositions consistent with legal regulations.
- Advises clinical staff on confidentiality of medical records and proper procedures for communicating patient information to outside facilities.
- Ensures incoming reports have proper information (name, date of birth, etc.) and are for FIU HWCOM patients; coordinates any discrepancies with sending institution. Distributes incoming test results and consultation reports to appropriate clinician for review and signature.
- Reviews all scanned documents and scanned paper medical records to ensure accuracy prior to destroying them. Logs and shreds records that are past legal retention date and have been approved for disposal.
- Processes mailing of medical records correspondence from providers to patients by regular or certified mail, as instructed.
- Recommend, edits, and helps with the implementation of procedures and operational guidelines in accordance with departmental needs and accreditation standards.
- Adheres to confidentiality policies and procedures and FERPA/HIPAA regulations.
- Performs essential duties in any emergencies such as hurricanes, public health emergencies, and/or any other university emergency closing. The employee is expected to be available to report to work as needed during university emergency closing with appropriate notification of a department administrator.
- Processes and coordinates requests for medical records to be released between outside providers and FIU HWCOM.
- Maintains logs, including mail log and release of information log.
- Maintains inventory of supplies and forms and orders as needed.
- Performs related duties as required or as directed. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
MINIMUM QUALIFICATIONS
High school diploma or GED required and two (2) years' experience in a healthcare setting.
DESIRED QUALIFICATIONS
Previous experience in medical records preferred.
DEPARTMENTAL REQUIREMENTS
Ability to work flexible hours and across all sites (ACC and NHELP) as needed.
