Administrative Assistant
George Mason University Operational Risk Management (ORM), within the department of Safety, Emergency, and Enterprise Risk Management (SEERM), is seeking applicants for the position of Administrative Assistant. Responsibilities:
The Administrative Assistant supports the ORM mission in daily matters with a strong emphasis on administrative support. The individual assists the department in fulfilling all office functions, with a focus on the complex elements of claims administrative support.
- Facilitate bank deposits and monthly budget reconciliation, process purchase orders and vendor payments, coordinate travel and process reimbursements, prepare meeting agenda and take minutes;
- Maintain organized electronic and paper files, including budgetary files for the division;
- Manage the Director’s and Risk Control Manager’s calendars;
- Serve as a point of contact for all office maintenance requests, including Facilities work orders, telecommunications work orders, and desk/office space considerations;
- Answer phone, monitor email, prepare correspondence; and
- Other related duties as assigned.
Required Qualifications:
- Associate’s degree or equivalent experience (generally two years) as a secretary or administrative assistant requiring a full-range of administrative functions;
- Knowledge of the budget process as it relates to managing office accounts;
- Demonstrated experience in computer skills with Microsoft products, including Outlook for electronic calendaring;
- Ability to navigate and maintain a departmental web page;
- Excellent oral and written correspondence skills;
- Critical thinking skills;
- Ability to multitask and handle sensitive and/or confidential material;
- Demonstrated exceptional organizational skills and detail oriented;
- After initial instruction, ability to work independently with limited guidance and ability to meet tight deadlines; and
- Ability to research, understand, and apply state directives and related risk management references.
Preferred Qualifications:
- Associates degree or college-level course work in business administration;
- CPR/First Aid/AED certification;
- Experience at an institution of higher education; and
- Must possess a Valid Driver’s License.
